Import module

IDPMS reconciliation for importers: every Bill of Entry matched and closed

Every outward remittance is matched to the Bill of Entry it pays, across all your AD banks. Form A1, the payment request and the closure papers come from the same record, and each open entry shows what is still owed and what the bank needs.

No card needed.

Demo

See the Import payments module run

One demo importer, from the supplier's proforma to the advance payment, the Bill of Entry, matching and IDPMS closure: the request letter and Form A1 filled from the record and signed with a Class 3 DSC, every AD bank's rate compared on the FX board, the remittance recorded, and the IDPMS check against the bank's list.

How it runs

From the proforma to a closed IDPMS entry

Proforma or contract

The supplier's proforma or contract opens the trade, with the party and its bank details taken from your masters.

Payment request

Items for one party, purpose code and currency are clubbed into one request, with Form A1 and the request letter in your bank's format.

Remittance

The rate is booked for the whole request on the FX board; the remittance is recorded from the request and linked to every item it pays.

Bill of Entry closed

The Bill of Entry is matched to the payment or advance it settles, and the closure papers go to the AD bank, which closes the entry.

IDPMS matching on the record

  • Scored suggestions: each open Bill of Entry is matched to remittances by party, amount, currency and date, and more strongly when the bank's narration quotes your document or invoice number. You confirm every match.
  • Purpose codes settle only what they may: S0102 settles a Bill of Entry and S0101 an import advance; a refund settles only the remittance it returns.
  • Split and part payments: one remittance across several Bills of Entry, part payments and bank charges, within tolerances you set (±2% and ±5 days by default).
  • Import Outstanding Statement: built from the open entries, so you see what is still owed, to whom and since when.
  • When the bank's list and your books disagree: on Growth and above, upload your AD bank's outstanding list. Each row is matched to the register and sorted into close at bank, follow up, missing from register, or not at bank.
  • Bilateral set-off: an import payable netted against an export receivable with the same overseas party, with its own reference and audit entry.

The papers your bank asks for

  • Form A1: the application for an import payment, in RBI's layout, filled from the payment record. Every other payment abroad goes on Form A2.
  • Request letters: on your letterhead, in your AD bank's published format where it has one, with the customs document, the bank reference and your invoice tabled for each item.
  • Closure: settlement letters, closure requests and the IDPMS closure declaration for a Bill of Entry up to ₹10 lakh come from the same record. Only the AD bank closes the entry.
  • By API where the bank offers it: with ICICI, the payment request, the outstanding Bills of Entry and the closure list can go by the bank's API, on your own credentials.

Dates it keeps

  • The contract period: from 1 October 2026 an import payment follows the period in the contract, and the AD bank may extend it.
  • Advances: an advance stays open in IDPMS until its Bill of Entry arrives; one that does not become an import is brought back.
  • Credit days: each Bill of Entry carries its due date from the credit days, with overdue items on your to-do list.
